App Features
Risk Observations
Observations provide a way for users to review a set of specific questions from their mobile device, add relevant documentation such as photos and notes and assign issues to internal and external parties.
Mobile Forms
Collect data from your mobile device using mobile forms. Utilize templates such as accident reports, incident reports, daily reports and many more. Or, create your own custom mobile forms.
Toolbox Talks
Utilize the platform’s robust library of toolbox talks for jobsite safety meetings or create your own in the platform.
File Cabinet
Cloud-based storage allows you to upload .pdf files that can be accessed from the mobile app. Limit who has access to specific files like Certificates of Insurance, OSHA Logs, and project files based on the user’s assigned projects. Or, allow all mobile users to see files like your Employee Handbook and Safety Data Sheets.
Organization Policies
Utilize the Policies module to upload your existing company policies or use policies from our list of best practices to assist your organization in developing its own safety policies. These policies are available on the administrator website and, when activated for a project, allows mobile app users to see these policies directly on their mobile device.
Push Notifications
Broadcast weather alerts, introduce new policies, bring attention to a specific risk, or welcome a new hire to your mobile app users through push notifications. Target your company news alerts to all mobile users or to a select group.

Analytics
The risk dashboard allows organizations to quickly analyze their risk observation data based on specific projects, issue severity or individual mobile app user.

QR Codes
Harness the power of QR codes by sharing mobile forms and providing proof of an employee’s training certification. Add QR codes to jobsite signage, hardhat stickers, and employee badges to make accessing these forms and employee training and certification history easy.

Learning Management System (LMS)
Utilize our library of training content or upload your own videos, PowerPoints, and PDFs. Track third-party and hands-on training with verification and quizzes to prove employees understand the material.

SafetyOne™ App Frequently Asked Questions
SafetyOne™ Mobile Application
Users can review and sign toolbox talks on their own mobile device by receiving a link or scanning a QR code. Once you open a toolbox talk on your mobile device or tablet, tap the button “invite others'' that appears at the bottom of the toolbox talk screen. You will have the option to either email or text a link to employees, or generate a QR code for the toolbox talk that can be scanned.
In order to receive push notifications on your device’s lock screen sent by your system administrator, you must be logged into the SafetyOne™ app. The app doesn’t need to open, you just need to be logged into the app.
If you’re logged into the SafetyOne app and you are still not receiving the push notifications, it is likely a setting on your device.
Consult the instructions for enabling push notifications from your device’s manufacturer.
No, the SafetyOne™ App does not auto-populate data on one field based on what is entered on another field.
However, to streamline the data entry process, use the “Copy Mobile Form” feature to copy a previously generated form and make whatever changes are needed to the new form. This is helpful on daily reports where only minor information may change from day to day.
Yes, incomplete mobile forms and observations are automatically saved, so users may return to the complete them at any time.
Yes, the SafetyOne™ App uses the device’s spell check capabilities, if available. Users can also utilize voice dictation to complete fields.
Yes, if GPS is enabled on the device for the SafetyOne App, then the app will track the user’s location. This is useful when adding the location of the an observation or toolbox talk.
In the upper right corner of all the SafetyOne™ mobile app screens, there is a QR icon. Click the icon to open a QR Code reader. This can be used to scan any QR Codes.
When you first login to the SafetyOne™ mobile app, you’ll need to have an internet connection. This allows the mobile app to verify your login credentials and download the appropriate data to your device.
However, when you are offline (without an internet connection) you can use the SafetyOne™ mobile app as long as you did not previously login out.
SafetyOne™ Administrator Website
The tree care-specific toolbox talks are available in your SafetyOne™ account. To make them accessible via the mobile app, you will need to assign them to a group.
However, it is a best practice to first, create a toolbox talk group in the administrator website, then assign 52 toolbox talks to the group. This will allow you to easily assign the entire group of toolbox talks to future projects/crews.
The Landscape-specific toolbox talks are available in your SafetyOne account. To have them accessible from the mobile app, you’ll need to assign them to a project or crew.
We recommend, first, creating a toolbox talk group. This will make assigning future crews or projects the same set of toolbox talks much easier.
Once a user has been added as a Trainee in the administrator website, they will receive a welcome email with a link to setup their password. Once they setup their password, they will be able to login to the platform and access their assigned training.
No, Rancho Mesa’s user agreement requires that each SafetyOne™ user (i.e., Administrator, Supervisor, Employee, Field Employee, Training Manager, and Trainee) has their own individual username and password to ensure data integrity. Sharing generic logins is not permitted.
The SafetyOne™ platform can be used to collect and manage certificates of insurance for both the organization and it’s sub-contractors.
Job training groups work the same way as employee groups, only you group trainings together rather than employees. This allows you to choose a list of trainings that need to be done within a group rather than having to make each training active when you assign training to employees.
Employee groups can be set up when there are employees that are categorized the same way and take the same training. This makes it easier to assign training to a group of people rather than assign them one at a time.
The Employee role provides access to perform tasks from the mobile device, but they are unable to delete or edit information from the website. They are only able to view any information that they generated from the website as well as access the their online trainings.
Field Employees are able to perform tasks from their mobile devices and only access their online trainings.
The Trainee permission structure allows users to only perform Training and generate a certificate of completion. They cannot log into the mobile application.
There are four standard report templates to choose from that display your company’s logo and custom footer text (i.e., disclaimer).
If additional customization like a specific font and color scheme is desired, it can be done for a fee to cover the development costs.
Yes, within the mobile form creator, a “Nested Option” provides a way for companies to provide specific follow-up questions depending on the answers chosen for that specific question.
From the administrator website, completed mobile forms can be filtered and/or sorted by the name of the user who completed the form along with the date the mobile form was completed.
For SafetyOne™ Pro Analytics users, Daily Form Completion Checks, along with custom alerts, can be used to notify a user when an analytical condition exists. These can be used when certain thresholds are not being met or when specific conditions merit further analysis.
The employee certifications and training history is available via the employee’s individual QR codes when the employee has an employee ID entered on the desktop administrator website and the certification/training record is in the Training section of the desktop administrator website.
SafetyOne™ Platform
You are able to add embed links to websites or files in observation questions, providing your employees with direct resources accessible from the SafetyOne™ Mobile App. These links can be added to custom observation questions from the SafetyOne Administrator Website.
You can link to a file stored in SafetyOne by retrieving the share link to the corresponding file in the “File Cabinet” screen. Or by using an outside online file storage site and retrieving the corresponding sharable link from there. You can also link to a website, but please note that if this URL is changed, the embedded link will be broken and will need to be updated to work again.
No, you will not get multiple notifications, the company news alert will only be sent once per notification.
There are two types of licenses, user, trainee, and recipient.
There is no limit to the amount of attempts for completing a quiz for online training.

Rancho Mesa’s Client Services team is the support contact for both the desktop administrator website and mobile app. In the next mobile app update, the support contact information will be updated to Rancho Mesa’s Client Services Department. It currently displays the developer’s tech support department’s contact information.
Yes, in SafetyOne™ Pro Analytics, there is an Accident Prevention Index Dashboard that will calculate the API of the observation based on the number of questions in the observation, # of issues (open and resolved) and severity of the issue(s). Alerts can also be set to notify you when the data shows an API that has reached a specific threshold.
The SafetyOne™ platform consists of a set of mobile apps (for iOS and Android devices) and a web-based back-end for collaboration, data analysis and system administration, which is hosted on Microsoft Azure cloud service.
The developer of the SafetyOne™ App is not considered a covered entity since they do not directly deal with patient data. Rancho Mesa’s clients, however, may create forms that ask for patient data. In this case the developer would rely on Rancho Mesa’s client to be HIPAA compliant in how they use the data.
Rancho Mesa limits access to client data on the SafetyOne™ App to Client Services Personnel for support and statistical use only. If you decide to use the SafetyOne™ App to collect and/or maintain patient data, we can discuss your individual scenarios with your Client Services Coordinator.
