Preparing, Posting and Submitting OSHA Log Data

Beginning February 1, 2025, U.S. employers are required to post last year’s Occupational Safety and Health Administration (OSHA) Form 300A Summary at their worksites. This form serves as a record of the company’s annual work-related injuries and illnesses. OSHA requires covered companies who have employed more than ten (10) employees during the previous calendar year—in this case 2024—to keep a record of work-related injuries and illnesses, and post the summary for employees to see. The form will need to remain posted through April 30, 2025.

OSHA requires covered companies who have employed more than ten (10) employees during the previous calendar year—in this case 2024—to keep a record of work-related injuries and illnesses, and post the summary for employees to see. The form will need to remain posted through April 30, 2025.

There are some partially exempt industries that may not be required to comply with recordkeeping and posting regulations. A list of those industries can be found on the OSHA website.

Preparing OSHA Logs

OSHA logs encompass three forms most employers are responsible for maintaining throughout the year.

The 300 log lists basic details, including employee’s name, job title, date of injury or illness, location and a brief description for any recorded incident. It also includes severity of the injury or illness; number of days the employee was kept away from work or transferred as a result of the injury or illness.

Form 300A is a summary of the data recorded in the 300 log. It does not include any individual data like the employee’s name, but it does show incident totals including the total number of cases with days away from work. This is the form that must be posted at each worksite in an area where employee notices are usually displayed.

Form 301 is used to collect additional information specific to each individual injury or illness. This includes information about the worker who was injured and details about how the injury or illness occurred, and must be kept confidential.

Employers should be documenting incidents and maintaining OSHA Forms 300, 300A and 301 throughout the year.

Rancho Mesa’s SafetyOne™ mobile app and RM365 HRAdvantage™ portal (HR portal) can be used for incident data collection, and the tracking and generating of the forms 300 and 300A, respectively.

Posting OSHA Form 300A Summary

OSHA requires the Form 300A Summary is posted at the worksite in a prominent area and it must not be covered by other material, altered or defaced in any way. Employers must also send a copy of the summary to any remote employees, or those who do not report to the worksite on a regular weekly basis. If a company has no recorded injuries or illnesses in 2024, the OSHA Form 300A Summary reflecting zeros in the data fields must still be completed and posted.

Once all incident information has been recorded for the year in the HR portal, employers can download and print the Form 300A Summary from the portal’s Safety/OSHA Logs screen for each year and worksite. Then, post the summaries at the appropriate worksites.

Submitting Forms 300A, 300 and 301 Data

In addition to posting the Form 300A Summary at the worksite, covered organizations with 20 to 249 employees are also required to submit their 300A data to Federal OSHA’s Injury Tracking Application (ITA) by March 2, 2025. The data can be manually entered into the ITA or a .CSV file with this data can be generated through the HR portal, which can then be uploaded into the ITA website.

OSHA also requires, “Establishments with 100 or more employees in designated high-hazard industries [to] electronically submit to OSHA detailed information about each recordable injury and illness entered on their previous calendar year’s OSHA Form 300 Log and Form 301 Incident Report.” This information is manually entered into the ITA.

Individual state OSHA requirements may differ slightly from Federal OSHA requirements. Be sure to check with your state’s OSHA division to ensure compliance.

Rancho Mesa has officially released its RM365 Advantage Safety Star™ program in the SafetyOne™ platform. Moving forward, clients participating in the construction safety program will complete the courses entirely through the platform or via an in-person workshop.

The Safety Star videos have been updated with the most current safety information, and the required courses are now accessed entirely via the online training feature.

The Safety Star program teaches important topics relating to construction safety in the workplace to help employers mitigate job-related injuries. Fall protection, ladder safety, heat illness prevention, fleet safety, and accident investigation are some of the courses participants must pass in order to earn their certification in construction safety.

If clients are interested in Safety Star certification for themselves or their employees, they can submit an application on the Rancho Mesa website, or reach out to their Client Technology Coordinator.

Meeting attendees enjoyed a round of golf at the Jack Nicklaus Signature Royal Blue golf course, followed by board meetings and the Presidents Dinner on Tuesday night.

Artisans Insurance Ltd. is a member-owned group captive based in the Cayman Islands, comprising California trade contractors. 

“This is one of my favorite events to attend, seeing a group of like-minded contractors join together to share ideas is amazing,” said Sam Clayton.

The tournament is named in honor of past NAWIC San Diego Chapter President who founded the original annual NAWIC San Diego golf tournaments that took place for 13 years.

On Friday, July 21, 2023 the National Association of Women in Construction (NAWIC) San Diego Chapter held its 1st Annual Paula Covert Memorial Golf Tournament. The tournament is named in honor of the past NAWIC San Diego Chapter President who founded the original NAWIC San Diego golf tournaments, which ran for 13 years.

All proceeds raised from the tournament are donated to the Future Construction Leaders Foundation and Rady Children's Hospital-San Diego.

Rancho Mesa had the pleasure of sponsoring a hole and providing players with snacks, cold drinks, games, and a prize drawing. Garon Smith from Dynalectric San Diego was named the prizewinner of Rancho Mesa’s giveaway which included a Yeti Soft Cooler, 2 Yeti Wine Tumblers, 2 bottles of wine, and other small gifts.

Making a Difference: Rancho Mesa’s Amber Webb and Anne Wright Volunteer at Camp NAWIC

On Wednesday, June 22, Rancho Mesa team members , Amber Webb and Anne Wright volunteered at Camp NAWIC, at AGC’s Apprenticeship Training Facility in Lakeside, CA.

On Wednesday, June 22, Rancho Mesa team members, Amber Webb and Anne Wright volunteered at Camp NAWIC, at AGC’s Apprenticeship Training Facility in Lakeside, CA. 

Camp NAWIC is a week-long summer camp for girls in grades 9 through 12 that teaches them basic construction skills while promoting an interest in a career path in the construction industry.

Campers learn construction skills through hands-on activities in disciplines such as electrical, plumbing, sheet metal, surveying, and heavy equipment operation. Returners complete a construction project as a team and mentor first year campers.

“This year, I volunteered with NECA for the electrical trade day and we were able to show the girls how to wire up a circuit with a switch and light bulb, bend pipe, install solar panels, learn about careers in the electrical industry and do some ladder safety,” Webb said.

Camp NAWIC is put on by the Future Construction Leaders Foundation of San Diego, an organization set up by NAWIC San Diego to run its outreach programs. NAWIC Chapters all over the country host these camps which facilitate friendship and teamwork while encouraging construction careers for women.

“I have been volunteering for Camp NAWIC since 2015 and it is such an amazing week,” Webb said. “The girls show up for camp on their first day and are scared and timid, but by the last day of camp, they have new friends and the confidence to take on new projects with the trade skills they learned.”

Many Rancho Mesa clients are also involved in this event, namely Melinda Dicharry, the former President of the foundation and the owner of Paradigm Mechanical Corp. Victoria Friar of Chula Vista Electric Co. and Sunrise Bobcat’s Tiffany Carapella and Tosha Carapella were also involved this year.

Rancho Mesa is a proud contributor to the NAWIC mission and its support of women’s careers in the construction industry, and we value our team aiding this cause through their volunteer work.

“Witnessing the exposure that these young ladies had to the creative process that is construction was so enjoyable,” Wright said. “Not many summer camps can actually lead you to a productive career path. NAWIC does an amazing job with this, year after year.”
